This role will support the New York Life Investments Marketing Department Senior Leadership team and organization, as needed. The hybrid position will be located in the New York City or Jersey City, NJ office.  The ideal candidate functions in an efficient, professional, and proactive manner. The ideal candidate has significant experience supporting senior management as well as project coordination. They need to be highly organized with strong attention to detail, client centric-oriented, and able to maximize the team’s time by completing tasks independently. We are seeking a team member that will be an integral part of the continued success and growth of our organization.



Responsibilities will include, but are not limited to:

  • Maintaining the overall support of the New York Life Investments Marketing Department Chief Marketing Officer and their senior staff, including managing complex business calendars and correspondence in a timely and professional manner
  • Coordinating meetings, conference calls, video conferencing and travel arrangements for CMO and senior staff
  • Processing invoices and T&E expenses for CMO and senior staff. Ensuring all guidelines are followed
  • Aiding in new vendor set-up and invoice processing
  • Tracking budgets/YTD spends for Marketing team, working with department head and directs
  • Liasioning within the department, across the organization and with external partners, vendors and associations
  • Serving as the departmental point of contact with IT regarding equipment requirements
  • Functioning as departmental coordinator/representative for our business continuity and contingency planning
  • Operating as department contact to on-board new/transferred/promoted employees
  • Supporting senior staff with the creation of presentation packages and reports for meetings
  • Ordering office supplies and maintaining inventory
  • Handling ad-hoc projects and assignments as the business dictates
  • Maintaining current organizational charts
  • Organizing and supporting internal and external events independently or with Events team



  • High School Diploma, Bachelors Degree preferred
  • 5-10+ years as an administrative assistant in a corporate environment
  • Exceptional interpersonal and communication (verbal and written) skills
  • Excellent organizational skills with a high attention to detail
  • Ability to multitask and set priorities
  • Detail oriented with strong follow-up skills
  • Strong work ethic
  • Flexibility in a fast-paced corporate environment
  • Team player with the ability to work independently, demonstrate initiative and exercise good judgment
  • High level of integrity and ability to handle confidential information
  • Able to collaborate and establish strong relationships with all levels of the organization
  • A willingness to work overtime, as necessary
  • Solid proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams


The salary range for this position is between $55,000 - $85,000 and has overtime eligibility. This position is eligible for a discretionary bonus and benefits
