The Executive Assistant will support the Treasurer of the MainStay Mutual Funds and our Fund Administration, Transfer Agency and Separately Managed Accounts Leadership Team. This individual will interact and serve as the first line of contact with our internal clients and external partners and vendors on behalf of the executive. This individual must effectively work with senior executives, team members within the department, with employees throughout New York Life, as well as with external business partners/contacts including independent Trustees of the mutual funds. The position is based in our Jersey City Office.

 

The Executive Assistant will work in a fast-paced environment supporting multiple team members and handling various requests simultaneously. The ideal candidate will be proactive, engaging, organized and a team player.

 

Primary Responsibilities:

  • Maintain the overall support of the executives, including phone coverage, complex business calendars and correspondence in a timely and professional manner.
  • Coordinate meetings, events, conferences, conference calls and travel arrangements with high attention to detail.
  • Provide status on all projects and handle expense reports, tracking and reporting for the executives, leadership team and department, as well as assisting with the day-to-day operations and administration as needed.
  • Manage office supply ordering and inventory.
  • Coordinate document tracking and retention while ensuring their accessibility.
  • Liaise within the department, across the organization and with external partners/vendors/associations including the MainStay Funds’ Board of Trustees.
  • Coordinate efforts to ensure that projects are delivered on time and schedules are adhered to on a daily/weekly basis.
  • Handle Ad-hoc projects and assignments as the business dictate.
  • This individual will be empowered to act on behalf of the executive(s) and will truly be a partner on all day-to-day operations.
  • The role requires a high attention to details and discretion with confidential information.

 

Required Qualifications:

  • 5-10+ years of Executive Assistant experience, preferably in the financial services.
  • Exceptional written and verbal communication skills.
  • Excellent organizational and time management skills; Strong problem solving and negotiation skills; Strong ability to grasp concepts and processes; Ability to partner and influence.
  • Proactive and client-centric.
  • Ability to multitask and set priorities.
  • Detail oriented with expertise in coordination and logistics.
  • Flexibility in a fast-paced corporate environment.
  • A positive attitude and professional demeanor.
  • A willingness to work overtime, as necessary.
  • Strong Microsoft Word, Excel, Access, PowerPoint, and Outlook skills.
  • Experience with Concur preferred.
