The Senior Administrative Assistant will support the Insurance Solutions Operations Chief Operating Officer and another Executive Officer. This individual will interact and serve as the first line of contact with our internal clients and external partners and vendors on behalf of the executive. This individual must effectively work with senior executives, team members within and outside the department, with employees throughout New York Life, as well as with external business partners/contacts. The position is based in our Clinton, NJ Office.


The Senior Administrative Assistant will also provide comprehensive administrative support as well as assist with departmental engagement initiatives and other administrative duties as needed. This role requires excellent organizational and communications skills, strong attention to detail, discretion in handling confidential information, well developed customer service acumen and the ability to multitask and meet demanding deadlines.


The Senior Administrative Assistant will work in a fast-paced environment supporting multiple team members and handling various requests simultaneously. The ideal candidate will be proactive, engaging, organized and a team player.


Primary Responsibilities:

  • Maintain the overall support of the Insurance Solutions Operations executive, including phone coverage, complex business calendars and correspondence in a timely and professional manner.
  • Coordinate meetings, events, conferences, conference calls and travel arrangements with high attention to detail.
  • Provide status on all projects and handle expense reports, tracking and reporting for the executives, leadership team and department, as well as assisting with the day-to-day operations and administration as needed.
  • Manage office supply ordering and inventory.
  • Coordinate document tracking and retention while ensuring their accessibility.
  • Liaise within the department, across the organization and with external partners/vendors/associations including other assistants
  • Coordinate efforts to ensure that projects are delivered on time and schedules are adhered to on a daily/weekly basis.
  • Handle ad-hoc projects and assignments as the business dictates.
  • Be empowered to act on behalf of the executive(s) and will truly be a partner on all day-to-day operations.
  • Assist with onboarding new employees to the Department
  • Maintain current organizational charts
  • Required high attention to details and discretion with confidential information.


Required Qualifications:

  • 5 – 7+ years of executive assistant experience, preferably in the financial services.
  • Exceptional written and verbal communication skills.
  • Excellent organizational and time management skills; Strong problem solving and negotiation skills; Strong ability to grasp concepts and processes; Ability to partner and influence.
  • Proactive and client-centric.
  • Ability to multitask and set priorities.
  • Detail oriented with expertise in coordination and logistics.
  • Flexibility in a fast-paced corporate environment.
  • A positive attitude and professional demeanor.
  • A willingness to work overtime, as necessary.
  • Strong Microsoft Word, Excel, Access, PowerPoint, and Outlook skills.
  • Experience with Concur preferred.
