EXECUTIVE ASSISTANT
Location Designation: Hybrid - 3 days per week
Role Overview:
The Head of New York Life’s Retail Annuities department is seeking an Executive Assistant to join the team in the NY office. This role involves providing administrative support to the Department Head and Head of Third Party Distribution. General responsibilities include arranging meetings, managing calendars, making travel arrangements, handling expenses, serving as a liaison between executives and various constituents, preparing meeting materials, and performing various administrative duties and projects to support the broader team.
What You’ll Do:
- Manage complex calendars and meeting schedules for the SVP and Head of Third Party Distribution.
- Serve as a liaison between the executives and various internal and external constituents.
- Develop and maintain strong relationships with other Executive Assistants, including providing back-up support when needed.
- Coordinate meetings and manage meeting set-up and logistics as needed, including IT requirements, room set-up, and catering, if applicable.
- Coordinate travel and handle travel expenses (i.e. Amex corporate card).
- Handle invoices, check requests, and wire transfers through A/P & Treasury.
- Process and reconcile monthly procurement card statements.
- Assist with new hire and consultant/contractor onboarding.
- Assist with space planning and seating arrangements for personnel in NY.
- Order department supplies and manage facilities issues and requests.
- Manage and/or participate in special projects and ad hoc duties.
What You’ll Bring:
- Bachelor’s degree preferred.
- Minimum of 5 years of executive administrative support or related experience.
- Strong communication skills, including the ability to interface with individuals at all levels in a professional and efficient manner.
- Ability to multi-task and take ownership and initiative in completing assigned work.
- Strong attention to detail and superior organization skills.
- Ability to proactively anticipate needs and apply appropriate solutions.
- Strong computer skills, including proficiency in MS Office (Word, PowerPoint, Excel).
- Strong desire to learn, always seeking new ways to improve upon existing processes.
- Project management experience preferred.
Pay Transparency
Salary Range: $72,000-$102,500
Overtime eligible: Nonexempt
Discretionary bonus eligible: Yes
Sales bonus eligible: No
Actual base salary will be determined based on several factors but not limited to individual’s experience, skills, qualifications, and job location. Additionally, employees are eligible for an annual discretionary bonus. In addition to base salary, employees may also be eligible to participate in an incentive program.
