Role Summary

Coordinate the delivery of required technologies for Agency Meetings. This includes network/Internet, electrical and telecommunications services and equipment.  Direct interaction with Corporate Events Team, Agency Meetings Team, Company C-Level Executives, Senior Leadership Team, Agents, employees and contracted meeting support professionals.  Coordinate a pre-defined work plan and quickly adjust the plan as on-site issues arise.  Travel, domestically and internationally, for several days to several weeks at a time to support the needs of Council agents, NYL executives and staff at New York Life’s off-site meetings.

 Key Responsibilities

  • Hours of Work: When not traveling in office Monday to Friday: Business Hours.  At off-site meetings – Monday to Sunday typically starts before and ends after normal Business Hours.  On call 24/7 during meetings.
  • Participate and assist in future meeting location site visits as needed. (test CEO wireless network, review business space).
  • Participate in ordering of on-site technical services (networking/Internet, electrical & communications).
  • Participate in ordering of rental office and communication equipment (PC’s, printers, monitors, copiers, radios, smart phones etc.).
  • Coordinate the set-up of staff offices, Executive conference rooms and One NYL Café.
  • Test and analyze the on-site performance of contracted wireless and wired networks.
  • Coordinate the technical support, provided to 3-15 Executives, 10-100 staff and 200-4000 attendees by a, team of 1 to 5 during the course of a meeting.
  • Coordinate the tear down of rental office equipment at the conclusion of a meeting.
  • Coordinate and sometimes provide technical support in CyberCafe for diverse computer configurations for a “Bring Your Own Device” (BYOD) support audience of agents (e.g. Lenovo, HP, Toshiba, Dell, ASUS, Microsoft, Apple MAC).
  • Coordinate and sometimes provide technical support in CyberCafe for various multiple mobile device types (e.g. Apple iPhone & iPad, Samsung, HTC Droid Smartphone’s & tablets, Blackberry).
  • Coordinate and sometimes provide ad hoc training in CyberCafe for NYL Agency Portal Applications to agents upon request (e.g. Sales Central, NYLIS, Viewers, Outlook).
  • Coordinate and sometimes provide technical support in CyberCafe in working with Windows 7, 8, 10, MS Office, Alternate E-Mail Clients.
  • Must be able to present a calm and positive customer service attitude.
  • Maintain and demonstrate a high level of maturity, responsibility and urgency in support and addressing of problems as they arise.

 Previous Experience

  • Technical support experience including providing support at off-site venues.
  • Experience working with technical support consultants, including 3rd party contracted personnel.
  • Strong technical skills including wired/wireless networking protocols, hardware and client software (PC’s, tablets, smart phones).
  • Experience with integrating the technical function into the meeting planning environment beneficial.

 Required Skills / Knowledge

  • Strong technical, analytical and problem-solving skills.
  • Ability to coordinate a team, including 3rd party contractors, of technical professionals.
  • Ability to respond quickly & calmly to on-site meeting technical issues.
  • Knowledge of desktop (PC and MAC) and handheld (tablet and smart phone) hardware and software.
  • Skilled in Microsoft Exchange and Office Suite applications.
  • Strong customer service focus.
  • Knowledge of the interaction of event technical planning with overall event planning.

 Education / Training

  • Bachelor's degree and/or equivalent work experience
