  1. Schedule appointments and maintain the calendar, anticipate needs for various commitments, and prepare accordingly.
  2. Manage logistics for all internal and external meetings and events, including arranging travel, accommodations, facilities, and meals, as necessary.
  3. Organize departmental activities such as offsite meetings, social events, dinners, celebrations, etc.
  4. Manage incoming calls and correspondence (e-mail, letters, packages, etc.)
  5. Prepare the expense reports.
  6. Coordinate onboarding activities for new employees (equipment orders, cube labeling, travel, first-day activities, etc.)
  7. Maintain and order all necessary supplies and materials for the department
  8. Collaborate with the team to create and edit presentation material
  9. Collaborate with team to publish content to intranet site in support of department needs


Required Qualifications


  1. BA/BS degree
  2. 5+ years of administrative experience supporting a senior-level executive in a large corporate environment
  3. Ability to be in the office (51 Madison). The role may also require occasional evening work (twice per month at most)
  4. Strong written, verbal, and communication skills with the demonstrated ability to work with all levels within the organization
  5. Highly organized
  6. High-level of discretion and ability to ensure complete confidentiality on all business matters
  7. Excellent computer skills with expertise in Microsoft office programs (Outlook, Word, Excel, PowerPoint).
  8. Ability to juggle competing priorities, time-sensitive requests, and occasional moments of pressure
  9. Confidence with ambiguity. Ability to develop action plans by gathering the necessary information and applying judgment as to the best path forward



Salary range: $55,000-$85,000 

Overtime eligible: Nonexempt 

Discretionary bonus eligible: Yes 

Sales bonus eligible: No
