The Executive Assistant will provide comprehensive administrative support to the Technology Chief Operating Officer and his team, as well as assist with departmental engagement initiatives and other administrative duties as needed. This role requires excellent organizational and communications skills, strong attention to detail, discretion in handling confidential information, well developed customer service acumen, and the ability to multi-task and meet demanding deadlines.

 

Role Summary:  A key role within the Office of the CIO, the Executive Assistant to the Technology Chief Operating Officer will support critical interactions and responsibilities of the OCIO team and Technology department. 

  

Primary Responsibilities

  • Coordinate and schedule meetings, arrange video conferences, prepare meeting materials, and assist with the day-to-day operations
  • Coordinate responsibilities and communications with other Executive Assistants within the Technology department
  • Partner with other Executive Assistants within the Technology department to coordinate calendars and provide backup support
  • Assist with written communication and Intranet site content
  • Manage calendars for Executive Officers within the OCIO
  • Review executive’s incoming email, removing junk and flagging items of high importance.  Manage Outlook-based email distribution lists
  • Entering timesheets for Executive Officers within the OCIO
  • Approval of time off requests from staff
  • Solicit and consolidate agenda topics and materials for team meetings
  • Setting team and individual reminders for recurring deadlines and events
  • Liaise within the department, across the organization, and with external partners, customers, and vendors
  • Assist with travel arrangements and related expense reporting for the department
  • Responsible for managing department orders and reconciling and submitting timely and accurate expense reports as the departmental P-card owner
  • Assist with onboarding new employees to the Department
  • Directs inquiries and follow ups with the appropriate parties to assure timely and thorough resolution
  • Point of contact for general facility issues and handle other administrative duties and special projects as assigned
  • Organize and coordinate events and all logistics for large group meetings such has Technology Holiday parties, Town Halls, OCIO Summits, Senior Leadership meetings, and other events as needed
  • Co-develop Power Point presentations with the Head of the Office of the CIO and team members
  • Manage location budgets for 6 Technology office sites

 

Minimum Experience Required:

  • Bachelor’s Degree preferred
  • Minimum of 5 years of administrative experience supporting senior level executives in a corporate environment
  • Previous experience in Financial Services is preferred
  • Strong organizational and problem-solving skills
  • Exceptional written and verbal communication skills with the demonstrated ability to work with all levels within the organization, including the C-suite
  • High attention to detail as well as discreet in handling confidential information
  • Ability to multi -task and set priorities; flexibility in a fast-paced corporate environment
  • Strong proficiency with Word, Excel, PowerPoint, Outlook, Teams, Zoom, and Concur
  • A positive attitude and professional demeanor

 

The Business unit that you will be joining:

The Office of the CIO (OCIO) drives several strategic functions within the Technology department, reports directly to the CIO, and serves as the CIO’s “right hand” in the management of the Technology department. 

  • Partners with the CIO in providing technology strategy and direction for the enterprise
  • Is responsible for driving focus and prioritization within the Technology department
  • Drives and facilitates effective collaboration and communications between the Technology department and key corporate functions including Finance, HR, Procurement, Communications, Legal and Audit.
  • Is responsible for directing the preparation, review and consolidation of business plans, budgets, and communications for the Technology organization.
  • Oversees First Line of Defense risk evaluation and compliance management processes.
  • Responsible for preparing sourcing strategy and developing and managing strategic vendor and partnership relationships
  • Oversees the Enterprise Architecture function
  • At times directly leads the execution of high-impact, enterprise-wide, strategic programs or initiatives, such as Blueprint
  • Oversees IT workforce management, location, and talent development strategies
  • Regularly prepares materials, sets agendas, or facilitates discussion for senior business and technology forums such as Executive Management Committee, Business Technology Data Architecture, and Capital Investment Committee.
  • Stays current with developments in new market trends and innovations in technology and the leadership of enterprise IT
