The Executive Assistant will provide comprehensive administrative support to the Senior Vice President and Head of Corporate Communications and Vice President and Head of Internal Communications, as well as handle administrative and office duties for the Corporate Communications Department at New York Life.  This is a fast -paced role that requires the demonstrated ability to multitask, set priorities and meet demanding deadlines. This individual must effectively work with senior executives, administrative assistants, team members within the department, and employees throughout New York Life, as well as with external business partners and contacts. The position is based in our New York City Office.

 

 

The Executive Assistant responsibilities include, but are not limited to:

  • Manage calendars, travel, expenses, invoices, phone coverage, and other associated tasks
  • Handle planning, coordination, and logistical support (IT/AV) for business and team meetings and events
  • Coordinate and manage development of bi-monthly and quarterly management updates
  • Assist with team engagement activities and deliverables
  • Assist with onboarding new employees, including IT requirements, space planning, and supplies
  • Assist with Communications campaigns and projects
  • Order and maintain office supplies
  • Serve as department Purchase card owner and administrator
  • Serve as department records coordinator and security liaison
  • Monitor department email in-box for proper handling of responses as needed
  • Work closely with administrative assistants of senior management team
  • Manage sensitive information and documentation
  • Support new team projects or responsibilities
  • Other duties as assigned

 

Required Qualifications:

  • Minimum of 5 years of administrative experience supporting senior level executives in a corporate environment
  • Strong written and verbal communication skills with the demonstrated ability to work with all levels in the organization, including the C-suite
  • Strong organizational and problem-solving skills
  • Strong project management skills and attention to detail
  • Ability to work in a fast-paced environment and manage multiple priorities
  • Demonstrated ability to anticipate needs
  • High level of professionalism with strong interpersonal skills
  • A positive attitude and professional demeanor
  • Demonstrated ability to maintain confidentiality and use good judgment
  • Strong proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Zoom and Teams
  • Strong desire to learn and seek new ways to improve upon existing processes

Salary range: $72,500-$107,500 

Overtime eligible: Nonexempt 

Discretionary bonus eligible: Yes
