Working under the direction of the Mail and Money Movement Manager, the Representative will work to achieve the goals of processing the following work in the incoming mail via USPS, UPS and other carrier services as well as emails and faxes; opening and sorting mail, batching documents for electronic imaging (scanning), indexing (electronic filing to associate policy), secure shredding of work, and processing of outgoing UPS and USPS.  The position is also responsible for cross training in more critical worktypes that support registered products for NYLSEC and VPSC.  Support checks processing and coordination with outgoing fund companied.  pickup and processing of outgoing mail throughout the service center, to include adding postage and preparing air bills, and check handling.            


 The Representative is expected to work independently with moderate supervision from the manager and assistance from the more senior team members. They will work with other members of the AWF Scanning and Mailroom Team to provide timely, efficient, and accurate service to policyholders, agents, and employees of related service teams. The Representative is able to handle moderately difficult service requests within the listed processes.  They are a technical expert for all processes listed above.  They will be expected to follow and may be expected to review procedures and make suggestions when appropriate. 


Primary Responsibilities:

  • Open and sort all incoming correspondence with supervision.
  • Document preparation of all work for scanning.
  • Works autonomously within established departmental procedures to resolve common service related issues.
  • Acts as a technical expert in service requests listed above. Provides informal subject matter guidance to more junior team members. 
  • Scan and/or index all documents, including emails received and faxes, with quality and efficiency levels as determined by department guidelines.
  • Develop and maintain a working knowledge of administrative and mainframe systems needed to process service requests.
  • Establish high quality internal and vendor customer relationships – using available resources and own technical knowledge and assistance from team members.
  • Assist team members on a daily basis to complete unfinished work in order to meet departmental and regulatory standards, and may be a back up for any position within the mailroom.
  • Work on special assignments as assigned by Manager to include service issue recovery efforts, system enhancements.



  • High School Diploma or GED required
  • Minimum of 1 year of experience in a role that includes processing incoming mail and/or scanning and indexing duties
  • Well versed in daily operations, reporting, troubleshooting technology issues, research missing requests
  • Experience with data entry into proprietary systems and Excel
  • Ability to flex between tasks depending on work load and priorities
  • Experience with mail sorting and scanning technology preferred
  • Demonstrated ability to adhere to strict deadlines
