We are looking to hire a Senior Administrative Assistant for the Office of the Corporate Secretary in New York Life’s home office at 51 Madison Avenue, New York. The Office of the Corporate Secretary assists the Chairman in all matters pertaining to the Board of Directors and its Committees including (i) developing and administering corporate governance policies and procedures and (ii) liaising with the Board of Directors and senior management in connection with Board and Committee meetings and related matters.

The Senior Administrative Assistant responsibilities include, but are not limited to:

 

  • Manage Attorneys’ calendars and daily priorities, and assist with the day-to-day operations of their respective areas
  • Handle all aspects of administrative support in a timely and professional manner, including typing/reviewing/revising/proofreading of memos, letters, presentations, minutes, resolutions and reports
  • Handle planning of Attorney’s meetings/coordination and phone coverage, including providing backup support for other administrative assistants
  • Prioritize phone, mail and E-mail messages; respond to requests on behalf of managers; track and follow-up on deliverables; maintain files
  • Manage documents, including reviewing sensitive documentation
  • Assist with travel needs
  • Order and maintain supplies, and handle other administrative duties as assigned

 

Required Qualifications:

  • Must be able to work 9:30 – 5:30, in addition to overtime as needed
  • Bachelor’s Degree preferred
  • Minimum of 5 years administrative experience supporting senior level executives in a corporate environment
  • Strong written, verbal, and communication skills with the demonstrated ability to work with all levels within the organization
  • Superior proofreading and editing skills
  • Excellent organizational skills; exceptional attention to detail and ability to “connect the dots” and see the big picture
  • Ability to multi-task and set priorities; flexibility in a fast-paced corporate environment and able to work as part of a team
  • Adaptable and quick learner
  • High level of professionalism with strong interpersonal skills
  • Demonstrated ability to maintain confidentiality; good judgment and diplomacy
  • Strong proficiency with Microsoft Outlook, Word, Excel, and PowerPoint
  • Experience with Boardvantage or Diligent a plus
