Administrative Assistant - Institutional Life (Sales)

 

Location Designation: Fully Remote 

 

 


Role Overview:
The Institutional Life Sales Support Coordinator provides administrative support to the Institutional Life Sales Team.
This is a part-time remote role (approximately 25 hours per week), generally supporting the team Monday through Friday during business hours.


The position is responsible for coordinating schedules, arranging travel, processing expenses, maintaining records, preparing meeting materials, and providing general administrative support. Work is performed under established procedures and guidelines to support team effectiveness and operational efficiency.

Success in this role means helping the sales team stay organized, responsive, and efficient through accurate administrative support and timely coordination.


What You'll Do:
Administrative Support
• Coordinate internal and external meetings, conference calls, and related logistics.
• Maintain team calendars and schedule meetings.
• Arrange travel as requested.
• Process expense reports and Gift and Entertainment reporting documentation.
• Maintain conference calendars and related administrative records.
• Assist with scheduling and administrative logistics for meetings and events.

CRM and Record Maintenance
• Enter and update customer and contact information in Salesforce as directed.
• Support data entry and record maintenance activities within Salesforce.
• Maintain broker lists and contact information.
• Generate standard Salesforce reports using established templates and procedures.

Presentation and Document Support
• Format PowerPoint presentations, meeting materials, and routine documents.
• Provide administrative support for proposal document preparation.

Client and Team Support
• Handle appointment confirmations.
• Collect and organize client documentation.
• Track administrative deadlines and follow-up items.
• Provide general administrative support to the Institutional Life Sales Team.


What You'll Bring:
You bring a strong desire for coordination and order. You should be organized, responsive, and comfortable supporting a fast-paced team with administrative and coordination tasks.

Required Skills

• 3+ years of administrative support experience.
• Strong organizational and administrative skills.
• Experience managing calendars and scheduling.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office (PowerPoint, Word, Outlook, Teams).
• Ability to prioritize and complete assigned administrative tasks within established timelines.

Preferred Skills
• Salesforce familiarity.
Experience supporting a business or sales team.
Financial services or insurance industry exposure.

Pay Transparency

Salary Range: $22.00 - $31.00 (Hourly Rate) 

Overtime eligible: Nonexempt 

Discretionary bonus eligible: Yes 

Sales bonus eligible: No 

Actual base salary will be determined based on several factors but not limited to individual’s experience, skills, qualifications, and job location. Additionally, employees are eligible for an annual discretionary bonus. In addition to base salary, employees may also be eligible to participate in an incentive program.
