This position primarily involves a hybrid work schedule - working remotely: Monday & Friday / on site: Tuesday, Wednesday and Thursday.


This position is responsible for planning and coordinating workflow for the execution of numerous direct mail campaigns: collaborate with multiple cross-functional groups to understand business objectives and strategies, analyze work requirements, define resource needs, and develop capacity plans. Create and launch a centralized capacity management tool to optimize resources for complex, conflicting business initiatives using analytical thought, experience, and a focus on best practices. Collaborate with support teams to interpret requirements and create a roadmap to coordinate internal and external resources. Serve as intake coordinator to centralize new work requests, assess level of effort, and manage resource allocation. Understand and capture key dates and manage communication around deadlines and status with stakeholders. Identify and communicate opportunities to increase efficiencies and leverage resources. Provide one department-wide view of direct mail campaigns in development to maximize campaign readiness, and proactively prioritize the work and understand impacts on capacity. Ensure work effort requirements are documented, streamlined, and efficiently maintained.


Work closely with Strategy, Creative and Production teams, NYL stakeholders and external agencies to prioritize, coordinate, and optimize resources that support multiple direct mail marketing campaigns in development.


Responsibilities include:


  • Create a centralized capacity management tool for campaign development to coordinate resources across multiple campaigns
  • Act as point of contact for business partners, prioritize highest-value work and ensure accuracy of schedule timing
  • Work directly with internal teams to understand business objectives and strategies, collect requirements, define specs, and craft into detailed project plans
  • Estimate, quantify, and monitor resource metrics for time and level of effort and identify opportunities 
  • Identify and mitigate potential risks that can delay project timelines or increase costs
  • Provide insight and recommendations to remove bottlenecks and streamline processes to optimize capacity and increase efficiencies
  • Clearly articulate opinions and needs to stakeholders, establish trust, and build collaborative relationships with internal and external partners
  • Accurately relay key objectives to ensure clean execution and mitigate risk
  • Help support a culture that drives simplification, eliminates redundant, non-value add work, and optimizes capacity
  • Cultivate partnerships, facilitate communication between team members to ensure alignment with objectives, assigned tasks, and due dates
  • Centralize, update and audit process documentation repository 




  • Bachelor's Degree in Marketing Advertising Communication, Capacity Management, Traffic, Print Production preferred, and/or equivalent experience 
  • 5+ years' related experience required
  • Must be proficient in Excel, analytical abilities, traffic, and capacity planning.
  • Experience with project management,  direct mail, and print production in a highly regulated industry.
  • Demonstrate interpersonal skills, flexibility working with multiple cross-functional teams, and attention to detail.  
  • Must be experienced with capacity management, traffic, and print manufacturing, creative formats, and content management. Use technology proficiently and have the ability to leverage process efficiencies that prioritize and optimize projects.
  • Ability to build relationships with business partners and stakeholders to ensure business requirements are reasonable, deliverable, and repeatable.
  • Understands campaign requirements, and how they translate into capacity planning.
  • Ability to review processes and procedures in place today and innovates to add efficiency.
  • Ability to recognize and adapt industry trends to business process.
  • Must be able to work independently trafficking projects of varying complexities, with strong follow-through.
  • Ability to anticipate stakeholder needs and provide solutions.
  • Experience in time-constrained environment with many stakeholders and completing priorities.
  • Ability to work collaboratively across teams and contribute to innovation. 
  • Ability to independently prioritize tasks against existing schedules with strong organizational skills.
  • Ability to resolve scheduling conflicts and changes due to evolving information in a composed and flexible manner while keeping stakeholders informed.

  • Understand complex ideas and then distill information into a clear, concise, and digestible format.
  • Advanced verbal and written communication skills to efficiently collaborate with other teams and articulate information to a variety of audiences.
