This Senior Administrative Assistant position will provide administrative support to the Executive Officers and the GMAD team. The ideal candidate must have strong organizational, verbal and written communication skills, be flexible and agile as priorities change, work effectively with other administrative assistants and be able to handle confidential information responsibly.

 

Responsibilities

  • Manage calendars, travel and daily priorities of executive officers, and assist with the day-to-day operations of their respective areas
  • Provide support for the Department including coordination of Town Halls, Employee Engagement Events and with our Tampa  Life Claims Office
  • Prepare and reconcile travel and business expense reports
  • Coordinate and schedule meetings, reserve rooms, forward meeting notices, arrange conference calls or video conferences, order meals, arrange dinners and prepare meeting materials.
  • Working with others, will be responsible for preparing power point presentations for Town Halls and Client Meetings
  • Management of the Department Organizational Chart.
  • Assisting Executive Officers with postings on Company Intranet
  • Handle all aspects of administrative support in a timely and professional manner, including creation/review/revision of memos, letters, presentations, and reports Order and maintain supplies and equipment, and handle other administrative duties as assigned
  • Submit and track requests to Account Payable for credit card transactions and vendor invoices

 

Qualifications

  • High level of professionalism with strong interpersonal skills and team-first orientation
  • Bachelors or Professional Degree preferred
  • Minimum of 5 years administrative experience supporting senior level executives in a corporate environment
  • Excellent organization skills; exceptional attention to detail and follow-up
  • Ability to multi-task and set priorities
  • Strong written and verbal communication skills
  • Demonstrated ability to maintain confidentiality; good judgment and diplomacy
  • Proficiency with Microsoft Outlook and Word, Excel, and PowerPoint. Ability to use Visio is preferred.
