This is not an event planner or programmer position. 

 

Reporting to the Corporate Events Head of Event Technology, the candidate’s primary responsibility is to assist in facilitating and maintaining event deliverables through various event technology platforms.

The primary focus will involve aiding in the automation and optimization of registration and meeting app processes, harnessing the full potential of existing systems. Tasks will encompass event operations such as maintaining meeting apps and registration websites, providing support for attendee data, and various other functions across all events. Additionally, responsibilities extend to addressing attendee management issues, supporting departmental technology needs, liaising with event technology vendors, and managing other event components.

 

Travel is required approximately 30 percent of time.

 

Key duties and responsibilities will include:

 

  • Collaborate with third-party vendors to develop in-person and virtual event registration and mobile app tools, ensuring a seamless digital attendee experience.
  • Act as the primary liaison for meeting app deliverables, ensuring adherence to timelines and providing support to teams on app modules and usage.
  • Assist in coordinating onsite vendor staffing, including app help desk support, electronic registration kiosks, print-on-demand badges, and other customized modules.
  • Track and analyze app usage metrics to gauge value and usage, offering insights for process improvement.
  • Work closely with internal teams and departments to identify business requirements for meeting registration and mobile app needs, offering practical solutions and assisting in issue resolution.
  • Play a vital role in helping integrate other modules of the event system (meeting intake, sourcing, budget, badging, etc.) into our processes, ensuring seamless coordination, and offering best-in-class service to our business partners.
  • Develop and document best practices and solutions to meet business requirements.
  • Liaise with third-party technology vendors to ensure compliance with NYL-approved Continuing Educational credits via meeting apps, overseeing attendance tracking for credits.
  • Travel to select events to assist with registration, electronic check-in, activity registration, and app technology.
  • Remain current with industry technologies, products, and trends.
  • Provide support to managers, teams, and departments in resolving event management issues related to rooming, attendee management, registration, reporting, and other functions as required.

Required skills and qualifications:

  • Bachelor's degree or equivalent experience preferred
  • 2-3 years of relevant work experience
  • Customer service orientation
  • Excellent written and verbal communication skills, with negotiation ability
  • Strong project and time management skills, with the ability to handle multiple projects concurrently
  • Proven problem-solving ability and conceptual thinking
  • High attention to detail and accuracy
  • Comfortable working collaboratively as part of a team
  • Adaptability to changing circumstances at short notice
  • Prior experience in the Events and Meetings industry preferred
  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint)
  • Familiarity/experience with HTML, CSS, and basic graphic design skills
  • Willingness to travel to events as needed

This position is based in New York, NY. This is a hybrid role, with remote work on Mondays and Fridays and in the office Tuesdays, Wednesday, Thursdays when not traveling to events.

 

 

Salary range: $58,500-$85,000 

Overtime eligible: Exempt 

Discretionary bonus eligible: Yes 

Sales bonus eligible: No
